Additional Services That FileBank Has That Makes Clients Running To The Phone To Call Us!

If you have been following our posts, you are aware that we recently published an article explaining our services. Here, we will give you a continuation of our services, and exactly how they can benefit your company.

1.   FileTrack-N-Shred: FileBank offers full shredding of documents for our clients either in-house or at the client’s location. Many police departments, as we may assume, have an array of confidential documentation they throw out on a daily basis; we serve them by going to their location, have an officer witness the shred being processed. We can do that with all clients if they request it. We have a huge shred truck that goes around the Tri-State area to shred our client’s documents, as well as having the service of picking up the boxes and shredding them at our location. In addition to shredding documents, we also provide our client with state-of-the-art, sturdy shred bins to have in their office space. Once the shred bins become too full, FileBank visits our client’s location and replaces the full bin with an empty one, and will either shred the contents of the bag at the client’s location, if they request that, or back at FileBank.

FileBank's Archive Center - Where Documents Go to Die

 

Archiving and tracking files is not just about storage. A company needs to do some major research when searching for a facility that is safe enough to store their documents. FileBank tracks our client’s files and advises them when they are ready for destruction. Clients also have the option of shredding their own files. Or, they would rather have the full service by us, which is shredding documents either at our facility, or at the client’s facility with one of our shred trucks. Our point here is, if need be, clients can store their documents with us, and never have to worry about them, or see them again.
Our shred truck is of extremely high technology, and is the most used truck we own. The metal teeth of the motor turn hot, the paper turns into dust, and before you know it, there is a combustible solution; completely eco-friendly.
FileBank’s Archive Center currently  stores over 700,000 cubic feet of containers, and over one million individual files, with still more room to grow. We are 4-stories tall and completely fire-proof and flood-proof. One major test with our facility to our clients was when Hurricane Sandy attacked New Jersey. Massive flooding all over the Tri-State Area, and we at FileBank were able to sleep well at night knowing our building was able to withstand winds up to 125 miles per hour. Also we are the very first building to be built in Bergen County, New Jersey, with an underground rainwater collection system, which obviously helped tremendously during Hurricane Sandy.
Our main concern of ours is to ensure that we have all the amenities needed to make our clients feel like they chose the right facility for their files, and I believe we've done a pretty good job thus far.

New FileBank Retention Policy


All companies experience issues with clients. FileBank Inc. is proud to say that our complaints are extremely uncommon; we are constantly brainstorming more efficient ways to serve them.  FileBank’s core priority is to ensure that we keep all clients pleased. What better way than to introduce them to a retention service that will eliminate the amount of cubic feet they use at our facility, and ensuring that this retention service is continuously 100% accurate?  With this being said, we have implemented a new retention policy for our customers who store their files at our state-of-the-art Archive Center.

This new FileBank policy is to simply ask our clients for a detailed description of each container stored at FileBank and give them retention dates, if necessary. This detailed description will not only benefit the client by knowing exactly what is in each container, but also our Sales Team and Customer Service Team when assisting them in searching for imperative documents in time-sensitive situations.

Considering we serve an immense amount of school districts, government entities and municipalities, their documents possess state retention guidelines, and may not be destroyed until the mandatory lifespan of their documents pass. Luckily, FileBank has trained and certified Retention Specialists who will assist the appropriate clients with retention dates, when they are not familiar with the lifespan of their stored documents.

FileBank's In-House Shredding Services

In a continuation from the previous post entitled "FileBank's Infamous Shredding Services, FileTrack-N-Shred," this post will focus on our in-house shredding services, right from our warehouse, with the boxes already stored at our facility. 

FileBank has an in-house Retention Specialist who is trained to assist clients with the Federal and State document management laws and already scheduled retention dates.  Most documents have a lifespan of a certain amount of years that must be abided by. 

Our Retention Specialist advises the clients when they  have containers stored at or facility that have an upcoming destruction dates, and will help the client with the following steps:
  • destruction of documents
  • FileBank's liability documents that need signing
  • documents proving and clarifying the shred is complete
Once the client is aware of the documents that are ready to be shredded, the client is given an Authority for Destruction. This document contains all of the boxes that are ready for destruction, and the client will have to give their consent with which boxes they would like to be shredded. 

Once the client chooses the containers they will to proceed with the shredding, the shredding can then begin.

The boxes are pulled from our racks in our Archive Center, and brought to the loading dock, where the shred truck is implemented from.

Once the containers requested to be shredded is complete, FileBank then signs the Authority for Destruction, and sends it back to the client, which is confirmation that the destruction is complete.

FileBank’s Infamous Shredding Services, File-Track-N-Shred.

FileBank offer affordable services for all clients throughout the Tri-State Area.  We are completely infamous for ensuring our client’s obsolete files are destroyed accordingly, and we have the certified employees to show for it.  We assist your organization comply with state and federal document management laws, as well as enlightening you with upcoming retention scheduled dates. 


FileBank is very diverse when it comes to our shredding services. We offer in-house and off-site shredding services for all of our client’s needs.  This is especially convenient for Government Agencies who have very confidential documents they may need shredded. Most of these agencies request to witness the shred being done, and FileBank satisfies that request with our state-of-the-art shred truck, used for shredding at our client’s location, right where it can be witnessed.


We deliver our shredding services on a box-by-box basis. If particular files are requested to be shredded, we advise the clients to manually pull the files out and let us know the ones to shred, for liability purposes.  Nonetheless, upon all destructions,  FileBank provides our clients with a Certificate of Destruction, that must be signed before the shred can begin. This document is also used as proof of destruction, one the destruction is complete.

FileBank takes much pride in being considered a "green business."  After all, we possess all of the resources in order to do so. We believe it is extremely imperative to take care of the environment, as well as play a major role in ensuring it's well being.  Shredding Services - Where They Go Once Shredded. As many of our readers are aware of, FileBank has a shredding service that can either be done on-site at the client's location, or off-site at FileBank's Data Center.
