FileBank's Archive Center - Where Documents Go to Die

 

Archiving and tracking files is not just about storage. A company needs to do some major research when searching for a facility that is safe enough to store their documents. FileBank tracks our client’s files and advises them when they are ready for destruction. Clients also have the option of shredding their own files. Or, they would rather have the full service by us, which is shredding documents either at our facility, or at the client’s facility with one of our shred trucks. Our point here is, if need be, clients can store their documents with us, and never have to worry about them, or see them again.
Our shred truck is of extremely high technology, and is the most used truck we own. The metal teeth of the motor turn hot, the paper turns into dust, and before you know it, there is a combustible solution; completely eco-friendly.
FileBank’s Archive Center currently  stores over 700,000 cubic feet of containers, and over one million individual files, with still more room to grow. We are 4-stories tall and completely fire-proof and flood-proof. One major test with our facility to our clients was when Hurricane Sandy attacked New Jersey. Massive flooding all over the Tri-State Area, and we at FileBank were able to sleep well at night knowing our building was able to withstand winds up to 125 miles per hour. Also we are the very first building to be built in Bergen County, New Jersey, with an underground rainwater collection system, which obviously helped tremendously during Hurricane Sandy.
Our main concern of ours is to ensure that we have all the amenities needed to make our clients feel like they chose the right facility for their files, and I believe we've done a pretty good job thus far.

P-Cabinet™ Solution - For Semi Active, Inactive, and Obsolete Records

FileBank’s physical cabinet solution, P-Cabinet encompasses all of your organization’s files not deemed to be active or accessed on a regular basis. Physical boxes – and the indexed files that comprise them – are stored at FileBank’s state-of-the art, climate controlled, and 24/7 security monitored facility, and are accessible via requests through the P-Cabinet button at FileBank’s client web portal.

Three distinct services that work together comprise the P-Cabinet Solution
FileRequest™ is file-level indexing, boxing, and inventory management of all for your semi-active files. This service provides you with the ability to manage documents throughout their lifecycle. It also allows you to assign retention dates and destruction schedules to your records, which reveals cost-saving opportunities and ensures proper compliance with regulations unique to your industry’s requirements.
FileBox™ is box-level indexing and inventory for all your inactive files and boxes. These are the rarely retrieved records that need to be stored for legal purposes and to preserve business history. This service offers an inexpensive, yet very effective and secure way of keeping track of your companies’ inactive records.

FileTrack-N-Shred™ at the point in time when state/agency regulations allow your inactive files to be destroyed, FileBank will shred these now obsolete files and issue a Certification of Destruction

When a semi-active document is needed from your P-Cabinet simply call, fax, or enter our client web portal with your request and we will locate your records, digitally scan and convert them to an electronic file, then publish the file to our secured web server. Once the file is published, authorized users will be able to access it in as little as 15 minutes via your organization’s virtual cabinet button. Once a file is scanned, it is stored in your V-Cabinet for as long as you remain a FileBank customer. Any documents from your P-Cabinet can also be physically delivered to you via FedEx or courier service, depending on your needs.

FileBank's Data Center Is Safer Than Anticipated.

The recent hurricane scare left some New Jersians, and New Yorkers a little frightened that they were going to experience another Hurricane Sandy. Luckily for FileBank and our employees/customers, we slept tight knowing that the secure Archive Center was not going to be tampered with by Mother Nature.


Our football field long and football field wide Data Center was withstand winds up to 135 mph. We live up to our name, ensuring our facility is safe and secure

FileBank’s President, Greg Copeland searched for the perfect, secure facility in 2004. His goal was to provide clients with a safe storage center. “I never envisioned Hurricane Sandy, but when I was reviewing the blueprints, I noticed the building could only withstand 85 mph winds. I didn’t think that was enough.” After debating with the architects, he decided to redesign the facility, making it withstand almost double that strength of winds as before.


Having a company care about the safety of documents as much as our clients do is a characteristic we at FileBank are proud to possess. We not only make sure our clients are 100% satisfied with the services we provide, but also assurance knowing their documents will never be ruined; that is what we call…priceless.

The President's Story - FileBank Inc.


Storage facilities are becoming more prominent in the digital era.  Many organizations simply wish they could find a secure facility where important and valuable company assets can be protected. FileBank is a hidden gem under some company’s noses. I would like to tell you how FileBank came to become the successful corporation it is today.  I will enlighten my readers into understanding FileBank’s journey that started over a quarter of a century ago, and how I, Greg Copeland, President of FileBank Inc. came to be an individual all organizations should know.


I started as a photographer with offices in Paterson, New Jersey and efficacious connections.  After a fire destroyed the New York Opera’s storage unit, I decided to help friends in need, and offer my facility to store the saved items.  As epiphany hits, it starts a domino effect; we had our very first storage client.


With an immense amount of client’s already by the early 1990’s, I began my search for a better protected facility. After five years of skepticism with different locations, we finally found one with great potential in Oakland, New Jersey.  My main goal was to provide our clients with a safe and secure facility that can withstand any weather.  I was apprehensive after reviewing the blueprints and learning that our building can only withstand winds up to 85 mph; that wasn’t enough in my mind.  This being said, I decided to expand the security of having a building that can withstand winds up to 125 mph.  A perfect example of my concern was the shock of Hurricane Sandy.  Have we not ensured that extra security, who knows what important documents (stored at FileBank), could have been compromised.  My clients and I sleep well at night knowing that their valuable assets are stored in a facility that is fire resistant and safe in the worst of weather.


Currently, we have an inventory of well over 300,000 boxes and 900,000 files, and 578 gigabytes of client data archived in either our data center or our archive vault. The archive center is four stories tall, a football field long and a football field wide. It has a capacity of over 600,000 cubic feet of storage space and our data center has 100 servers with twenty terabyte of storage.  Our center is positioned to be scalable to handle most eventualities. We have two successful programs helping our clientele be current with the booming digital era, and most of all, they are ALL satisfied.

FileBank and The Performing Arts

FileBank is an extremely diverse document management company, from storing important Municipal documents, to the storage of Anna Banana, the Muppet. Below are three major corporations we have the pleasure of doing business with, and who are considered performing arts companies:

The Metropolitan Opera: FileBank was introduced to The Performing Arts since our very beginning, with The Metropolitan Opera being our first client. It started off as a small favor for a friend, storing insignificant costumes boxes in our use-to-be photography corporate headquarters. Now, over twenty years later, they currently hold the most cubic feet of storage at our Archive Center, with various sized racks, costumes, and props all in their own, secluded corner, in which they rent out. They visit our facility weekly, and have never had an issue with racks being out of place, or missing.
The New York City Ballet: The New York City Ballet has been a client of ours since 2011. The service we provide to them is FileBox. This is the simple storing of individual containers.
The Muppet Studios/Puppet Heap: The Muppet Studios have been a client of ours also since 2011. They are another client who holds hundreds of cubic feet solely for their puppets, and their props.  They have our database at their location, which makes for easy access for data entry via their office, as well as easy retrieval of boxes for next day, rush, or emergency deliveries.

One Successful Loss

As a small company, or any company for that matter, owners constantly have to worry about losing major clientele. FileBank has definitely had our share of wins and losses when it comes to our clients. One recent loss in particular was bittersweet for our small company.

Valley National Bank has been a client of ours for 19 years. Throughout the years, we stored 84,667 boxes and had over 548,000 transactions; an impressive amount. Recently, we decided to part separate ways, a decision that was difficult for FileBank to accept. Nonetheless, FileBank was given a one-month notice to deliver all containers belonging to the bank. When all belongings were delivered, Valley National Bank was in for an extremely pleasant surprise; their entire inventory was 100% accurate with the inventory records they’ve kept in-house. We most definitely showed them 100% accuracy throughout the years, however, this instance was more satisfying to them than anything we’ve ever serviced them in the past.

This accuracy was not only satisfying for both parties, but proof that FileBank takes much pride in our redundancy and accurate work. We take pride in knowing that our clients, even the ones we lose, will never have ill feelings towards our services. Our entire team makes certain of this, and this particular loss, proves this case.
