FileOrganize Is The Best Team For ECM!

Filebank has a unique team that visits our clients and does the dirty work on their documents, sometimes literally! FileOrganize, or what we like to call it, the PURGE team, goes to our client’s location and repacks, and barcodes all of their documents and organizes them back at our facility.

Not only does this help with extreme clutter at our client’s facility, but it also allows FileBank to prove to clients that we are capable of handling their documents with care, and organizing them to the best of our ability.

The digital era is booming in 2015, FileBank Inc. is well aware of this.  Always changing our services when technology changes, we have this tremendous service that has all of our clients screaming with satisfaction and excitement; it's called Jump to Digital.

All companies have an envision of one day becoming paperless. This service that FileBank offers makes that dream a reality. We service our clients with a high-tech scanner, specifically for our customers, and shred bins, if necessary. Whenever our clients would like to store something virtually in our system, they scan the document, (which is connected to our server at corporate headquarters), and will then put the original document in our sturdy FileBank boxes. If the original is obsolete now that the document is scanned, they can toss it in their shred bin. The amazing thing about this service is that they physically index their OWN documents. So whenever  our clients need to search for something quickly, they already know exactly where it is indexed under, since it was done by their own hands. Once the FileBank boxes are filled with scanned documents, we pick them up and store them until the retention date is near and is then shredding, with the customers consent, of course. 

Now, with this service, our clients have access to all of their documents with just one click of a mouse. No document is  left unindexed, or lost in the system.

Seven Steps: One Streamlined Organization

With FileBank’s new solution underway, many clients ask exactly what is the process of converting physical files into digital ones. This post will allow all current and potential clients know what happens, and how it happens.

Step 1: Assessment: FileBank will analyze your organization’s information assets and mention how to divide your records into Active, Semi-Active, Inactive, and Obsolete. Records are transported by FileBank expert archivists.

Step 2: Web Client Portal: FileBank will set up your online account to have admission into FileBank’s client portal, access to your V-Cabinet™ , P-Cabinet™, and A-Cabinet™ (if applicable). We will launch security, passcodes, and user rights for the portal access.


Step 3: Digital Conversion of Active Files: Using our FileCapture™ Service, FileBank transforms your most active files, making them immediately obtainable through your V-Cabinet on your client portal.

Step 4: Inventory and Indexing of Semi-Active Files: Using our FileRequest™ Service, FileBank conducts file-level inventory and indexing for all of your organization’s Semi-Active Files.

Step 5: Inventory, Indexing, and Boxing of Semi-Active and Inactive Files: Using our FileBox™ Service, FileBank executes a box inventory and indexing for all of your organization’s Semi-Active and Inactive files. Physical Boxes are kept at FileBank’s state-of-the-art storage facility.

Meet Our New Vice President of Shredding Services, Nick Moretta

After 10 successful years at FileBank, former Account Executive, Nick Moretta is now our new VP of Shredding Services!

Formally focusing on Municipalities in the New Jersey area, Moretta has gained an immense amount of knowledge of imperative documents, and the lifespan that must be present. With this knowledge, he decided to take the extra step in using this to assist our current and potential clients in understanding the thorough process that comes with shredding documents. 

Destruction of documents is not a sporadic decision. There is a lot of time that must go in it, considering that most documents have a state and federal law that permits them from being destroyed before a certain time period. He is here to help our clients understand the laws and possible risks that comes with shredding, what our clients may believe are obsolete, documents.

FileBank offers our shredding services on and off site. Bring us your boxes filled with documents, garbage bags, of just in folders; we will take care of the rest. If necessary, we will work with you to secure the consent from the proper state agencies to ensure, indefinitely, that the files you wish to destroy does not have a lifespan longer than the date you wish to shred them. Upon the destruction of the files our clients choose, a Certificate of Destruction is given to them as proof of the shred.
