New FileBank Retention Policy

All companies experience issues with clients. FileBank Inc. is proud to say that our complaints are extremely uncommon; we are constantly brainstorming more efficient ways to serve them.  FileBank’s core priority is to ensure that we keep all clients pleased. What better way than to introduce them to a retention service that will eliminate the amount of cubic feet they use at our facility, and ensuring that this retention service is continuously 100% accurate?  With this being said, we have implemented a new retention policy for our customers who store their files at our state-of-the-art Archive Center.

This new FileBank policy is to simply ask our clients for a detailed description of each container stored at FileBank and give them retention dates, if necessary. This detailed description will not only benefit the client by knowing exactly what is in each container, but also our Sales Team and Customer Service Team when assisting them in searching for imperative documents in time-sensitive situations.

Considering we serve an immense amount of school districts, government entities and municipalities, their documents possess state retention guidelines, and may not be destroyed until the mandatory lifespan of their documents pass. Luckily, FileBank has trained and certified Retention Specialists who will assist the appropriate clients with retention dates, when they are not familiar with the lifespan of their stored documents.

How FileBank Service "Instant Access" Can Implement Positive Change In Their Company

Many of our customers are schools and Municipalities; all of whom possess an insurmountable amount of documents. Almost all of our clients experiences times in their organization when retrieving documents are of an extreme time sensitive situation. Having all files serviced in Instant Access, can not only help during these time-sensitive occurrences, but it can also relieve the stress of wondering if any files have been lost or accidentally destroyed.

Imagine having over 1,000 boxes in storage. This means within these 1,000 boxes, there are over 3,000 files within these boxes. Even the most organized individual will have an issue keeping up with all every single file in each box. What Instant Access does for our clients, is individually index every single file in each box, allowing clients to search for a specific file instead of multiple boxes to search in, in hopes of finding this one particular file.

How We Became FileBank

Storage facilities are becoming more prominent in the digital era.  Many organizations simply wish they are able to find a secure facility where they can store their everyday clutter. FileBank is a hidden gem under some company’s noses. We are here to tell you how we came to become the successful corporation we are today.  We will enlighten our readers into understanding our journey that started over a quarter of a century ago, and how I, Greg Copeland, President of FileBank Inc. came to be an individual all organizations should know.

I started as a photographer with offices in Paterson, New Jersey and efficacious connections.  After a fire destroyed the New York Opera’s storage unit, I decided to help friends in need, and offer my facility to store the saved items.  As epiphany hits, it starts a domino effect; we had our very first storage client.
With an immense amount of client’s already by the early 1990’s, I began my search for a better protected facility. After five years of skepticism with different locations, we finally found one with great potential in
Oakland, New Jersey.  My main goal was to provide our clients with a safe and secure facility that can withstand any weather.  I was apprehensive after reviewing the blueprints and learning that our building can only withstand winds up to 85 mph; that wasn’t enough in my mind.  This being said, I decided to expand the security of having a building that can withstand winds up to 125 mph.

A perfect model of my concern was the shock of Hurricane Sandy.  Have we not ensured that extra security, who knows what imperative documents stored at FileBank could have been compromised.  My clients and I sleep well at night knowing their documents are stored in a facility that is fire resistant and safe in the worst of weather.

Currently, we have an inventory of well over 300,000 boxes and 900,000 files, an Archive Center that sits four stories tall and has 600,000 cubic feet of storage space. We have two successful programs helping our clientele be current with the booming digital era, and most of all, they’re ALL satisfied.

We look forward to working with you.
Sincerely,
Greg Copeland

7-Alarm Fire at a Storage Company - Customers of FileBank Never Have toWorry

Well over millions of significant records were destroyed by a 7-alarm fire at a Storage Facility in Brooklyn this past weekend. Vital documents belonging to organizations all over New York City forever lost. Many of whom never believed to inspect their storage facility and ensure that it holds the utmost security from outside entities, and natural accidents.  This particular happening in Brooklyn may be proof that a company should be interested in the quality of the storage unit, rather than searching for the cheapest one.

FileBank Inc. has invested heavily in our storage facility to provide a safe secure Archive Center; consequently our prices are bit higher. But my staff and I can sleep well knowing that we took the proper precautions  to ensure storage facility safety. If you wish to see a fire resistant state-of-the-art facility.

Just stop in for a tour.. Not necessary to notify us in advance. Be sure to learn more about our services at our website

Sincerely,

Helping Schools Succeed

It’s the start of a new school year and we at FileBank are continuously finding new ways to help our more than two dozen school districts achieve their goals. One of the best ways we can help our schools is by keeping our services affordable and easy on the budget without sacrificing quality.

As a certified Educational Data Services contractor, FileBank has worked very hard to supply schools and municipalities with perfect service. Although austerity measures and economic turmoil has meant that schools around the tri-state area are being asked to do more with less, FileBank steps up to the plate every day to deliver quality services that our customers rely on.

Cluttered storage rooms and desks and file cabinets overflowing with paper documents have become a common sight in many offices across the tri-state area. FileBank’s services are designed to enhance the efficiency of office staff, freeing up not only storage space but time, too. In fact, our high-tech, computer-based solutions are designed to bring order to the chaos of the office, reducing office reliance on paper documents and increasing staff efficiency by 66%.

FileBank takes a systematic approach to quality management. Our clients rest assured that FileBank is managing its business to ensure that their record management needs are clearly understood and fulfilled. Our clients rave about the quality of our services, including our $299 Jump-to-Digital program, which gives client easy and reliable online access to their paper and digital records.

"It was initially an incredible leap of faith we took from physical to virtual, but oh…the results!” said former Hoboken Board of Education member Rosetta Caporrino. “I was amazed at how easy the web interface is to use, and FileBank representatives always go out of their way to answer my questions and return my calls."

Karen Perkins, a business administrator for Clifton Public Schools, which serves over 11,000 students in the City of Clifton, has also applauded our dedication to providing the best in industry service.

“[FileBank’s] attention to service, reliability, and response time has been excellent,” said Ms. Perkins.

Through Educational Data Services, we offer competitive pricing for records management services. Whether you simply want to store your inactive files in a safe and secure location or make the “jump to digital” and reduce your office’s reliance on paper, FileBank delivers affordable solutions that we cater to your specific needs.
