Additional Services That FileBank Has That Makes Clients Running To The Phone To Call Us!

If you have been following our posts, you are aware that we recently published an article explaining our services. Here, we will give you a continuation of our services, and exactly how they can benefit your company.

1.   FileTrack-N-Shred: FileBank offers full shredding of documents for our clients either in-house or at the client’s location. Many police departments, as we may assume, have an array of confidential documentation they throw out on a daily basis; we serve them by going to their location, have an officer witness the shred being processed. We can do that with all clients if they request it. We have a huge shred truck that goes around the Tri-State area to shred our client’s documents, as well as having the service of picking up the boxes and shredding them at our location. In addition to shredding documents, we also provide our client with state-of-the-art, sturdy shred bins to have in their office space. Once the shred bins become too full, FileBank visits our client’s location and replaces the full bin with an empty one, and will either shred the contents of the bag at the client’s location, if they request that, or back at FileBank.

2.   FileRetention: This service schedules and monitors documents ready for destruction, according to state and federal laws. We have a Retention Specialist who is certified in compliance regulations, for all document management state, federal, and local laws.

Benefits: Expert advice in identifying expired records. Regular monitoring of account by in-house Archivist for retention compliance. 

3.   P-Cabinet: This application is a secure web-based records management server that allows clients to be able to view their entire inventory, department by department, box number by box number, all on their fingertips.

Benefits: finds a box or files in seconds. Requesting files to be scanned-on-demand. Manage inventory. Request supplies.

FileBank's In-House Shredding Services

In a continuation from the previous post entitled "FileBank's Infamous Shredding Services, FileTrack-N-Shred," this post will focus on our in-house shredding services, right from our warehouse, with the boxes already stored at our facility. 

FileBank has an in-house Retention Specialist who is trained to assist clients with the Federal and State document management laws and already scheduled retention dates.  Most documents have a lifespan of a certain amount of years that must be abided by. 

Our Retention Specialist advises the clients when they  have containers stored at or facility that have an upcoming destruction dates, and will help the client with the following steps:
  • destruction of documents
  • FileBank's liability documents that need signing
  • documents proving and clarifying the shred is complete
Once the client is aware of the documents that are ready to be shredded, the client is given an Authority for Destruction. This document contains all of the boxes that are ready for destruction, and the client will have to give their consent with which boxes they would like to be shredded. 

Once the client chooses the containers they will to proceed with the shredding, the shredding can then begin.

The boxes are pulled from our racks in our Archive Center, and brought to the loading dock, where the shred truck is implemented from.

Once the containers requested to be shredded is complete, FileBank then signs the Authority for Destruction, and sends it back to the client, which is confirmation that the destruction is complete.

Meet Our New Vice President of Shredding Services, Nick Moretta

After 10 successful years at FileBank, former Account Executive, Nick Moretta is now our new VP of Shredding Services!

Formally focusing on Municipalities in the New Jersey area, Moretta has gained an immense amount of knowledge of imperative documents, and the lifespan that must be present. With this knowledge, he decided to take the extra step in using this to assist our current and potential clients in understanding the thorough process that comes with shredding documents. 

Destruction of documents is not a sporadic decision. There is a lot of time that must go in it, considering that most documents have a state and federal law that permits them from being destroyed before a certain time period. He is here to help our clients understand the laws and possible risks that comes with shredding, what our clients may believe are obsolete, documents.
