When we at FileBank familiarize ourselves with new potential clients, we construct our results to them, so they can see for themselves what we have to offer! While it is always satisfying to meet members of different administrations in person, there comes a time when our schedules are just not able to appropriately align. There are many reasons why a face-to-face meeting may seem impossible, but in this booming digital era, this issue is conquerable with a simple click of a mouse.

 FileBank’s YouTube channel makes it simple for clients and potential clients to have in-office tutorials, rather than having a representative go to their location. Obviously, there are some instances when you need a representative to come in and show you the ropes, but our online tutorials give our clients reassurance knowing that our services are available even after normal working hours.

FileBank Team Leaders

FileBank has developed a brand new approach for office productivity recently. We believe it is very important to change office environments by constantly keep our employees on our toes, and ensure their work is always of high quality.  This is why we developed team leaders for our many different departments, who are in charge of implementing change when need be.

Any successful organization needs team leaders.  It is a crucial decision in choosing the employees to for this role if the company would like it to be successful.  These individuals cannot be afraid to make difficult decisions in order to satisfy the needs of their superiors.

Microfiche Department  -  This individual is in charge of managing all microfiche being brought to FileBank. Also in charge of implementing change to ensure microfiche scanning is being completed in a faster, more cost-effective manner.

Instant Access/Scan-on-Demand Department - This individual is in charge of scanning all files and important documents clients request into their virtual portal, V-Cabinet. They, also, are in charge of implementing productive change in this department for internal cost purposes.

Customer Service Department - This individual is responsible for overseeing all electronic work orders sent from our clients, and delegating work to the Customer Service Assistant. They are responsible for ensuring our clients are always satisfied, and implementing positive change according to their requests/needs.

Data Center Department - This individual is in charge of overseeing the entire Data Center, and ensuring the organization factor. All containers must be accessible at all times, as well as put back where they belong, according to the client's inventory location list.

File Organize Department - We call this service "purging." This individual is responsible for organizing a on-site purge for our clients, where we repack, label and index their containers according to the content. They manage the entire project, as well as ensure 100% organization goes into each project.

Circle of Labor at FileBank Is The Key To Successful Workflow.

FileBank's Circle of Labor is an extremely important aspect of the workflow in this organization. Each section of the below figure is imperative and is always implemented successfully and efficiently.
               

  

This chart represents the process of labor we do on a daily basis. Starting with the Customer Inquiry, the customer will usually send FileBank a work order request via our P-Cabinet, or verbally over the phone. 

The next step is for our Customer Service Department. They are the liaisons between FileBank and the customer. This department is charge of processing the electronic work orders (EWO), and ensuring that we at FileBank are satisfying the customers’ requests. When a work order is complete, it is then sent to be finalized to do the Department Work. Here, the actual is labor is being done, such as retrieving the boxes/files requested by the customer, scanning, delivering, and picking up for storage.

When the department work is complete, it is the Customer Service Department’s job to ensure one last time that the Customer Satisfaction is excellent after the job is done, and of course, making sure FileBank made a profit from each job (FileBank Satisfaction).

The President's Story - FileBank Inc.


Storage facilities are becoming more prominent in the digital era.  Many organizations simply wish they could find a secure facility where important and valuable company assets can be protected. FileBank is a hidden gem under some company’s noses. I would like to tell you how FileBank came to become the successful corporation it is today.  I will enlighten my readers into understanding FileBank’s journey that started over a quarter of a century ago, and how I, Greg Copeland, President of FileBank Inc. came to be an individual all organizations should know.


I started as a photographer with offices in Paterson, New Jersey and efficacious connections.  After a fire destroyed the New York Opera’s storage unit, I decided to help friends in need, and offer my facility to store the saved items.  As epiphany hits, it starts a domino effect; we had our very first storage client.


With an immense amount of client’s already by the early 1990’s, I began my search for a better protected facility. After five years of skepticism with different locations, we finally found one with great potential in Oakland, New Jersey.  My main goal was to provide our clients with a safe and secure facility that can withstand any weather.  I was apprehensive after reviewing the blueprints and learning that our building can only withstand winds up to 85 mph; that wasn’t enough in my mind.  This being said, I decided to expand the security of having a building that can withstand winds up to 125 mph.  A perfect example of my concern was the shock of Hurricane Sandy.  Have we not ensured that extra security, who knows what important documents (stored at FileBank), could have been compromised.  My clients and I sleep well at night knowing that their valuable assets are stored in a facility that is fire resistant and safe in the worst of weather.


Currently, we have an inventory of well over 300,000 boxes and 900,000 files, and 578 gigabytes of client data archived in either our data center or our archive vault. The archive center is four stories tall, a football field long and a football field wide. It has a capacity of over 600,000 cubic feet of storage space and our data center has 100 servers with twenty terabyte of storage.  Our center is positioned to be scalable to handle most eventualities. We have two successful programs helping our clientele be current with the booming digital era, and most of all, they are ALL satisfied.
