FileBank's Indexing Services


 

One of FileBank’s popular services is the archiving and indexing of documents. The purpose of this procedure is to ensure that core documentation stored at FileBank Inc. are well managed and tracked at all times.  This will allow all internal files of the company, and files belonging to our clients, to be organized and easy to find in the event that a file is requested.

The employees who are responsible for this procedure are the Internal Archivists. These employees will assure that all interior files in each department are organized by file, and not by only the container the files are in. 

The procedure for this service is as follows: Authorized personnel from each department will be assigned specific documents for filing. These files are then put under specific categories in which our client’s department feels that the file belongs to. All files are containers and stored at our Corporate Headquarters, home of our Data Center, located at 23 Thornton Road, Oakland, New Jersey, 07436.

The Internal Archivist will collect all documents, and file them in its appropriate cabinet.

In the event that a document doesn’t have an existing file, the Internal Archivist is responsible for contacting the client in order to make a new one.  The name of the file is determined by the name on the document or by the subject name of the document.

Physical Storage: This service is our basic one, sometimes called “FileBox.” This is where we store our client’s containers without any internal categorization in each box. Stored in our 4-story high, fire proof Data Center, this service has aided our clients with the headache of clutter, and inefficiency in their own organization.

Virtual Storage: FileBank’s virtual cabinet solution, V-Cabinet converts your tedious manual filing system into an intuitive digital environment using its FileCapture service.  This document imaging service scans your paper records and converts them into digital images – allowing clients to locate and share documents across their organization. 

V-Cabinet™ assimilates document management and retrieval solutions, as well as consolidates and manages multiple content types; all using a single software.  This makes it possible to share and locate files quickly right from your desktop, and permits users to communicate with other users more effectively.  Your organization’s V-Cabinet is user ID/password protected, so only authorized individuals may view or upload any information. Also, an individual level of access is assigned based on user type. For example, individuals in your company’s Human Resources Department will not have access to files in the Accounts Receivable Department, unless the proper access is requested.

File Retention/Shredding Services:  The retention period of a document is a characteristic of file management.  When wanting a document physically destroyed, there are some technicalities once must abide by. Legally, some records must be available, electronically and physically, longer than others. Most companies are subject to laws that affect the records they create.  FileBank helps our customers determine which documents need to be preserved and which ones we are legally allowed to destroy.  Our in-house archivists analyze our client’s files to determine the expiration dates. We also work with relevant government and nongovernmental agencies to always guarantee that no file ever gets destroyed that should not have been.

Our destruction services may be performed on-site at our client’s location, or here at our Archive
Center. Certificates of Destruction are provided to our clients and must be filled out to its’ completion
before any shred. This will eliminate any document that our client did not request to be destroyed.

FileBank uses a variant of the traditional top-down type organization chart to document the reporting relationships between its personnel. The chart is periodically updated, communicated, and used to train employees on their location of the company pyramid. It shows how employees act in a cross-functional manner. One Successful Loss

As a small company, or any company for that matter, owners constantly have to worry about losing major clientele. FileBank has definitely had our share of wins and losses when it comes to our clients. One recent loss in particular was bittersweet for our small company.

Valley National Bank has been a client of ours for 19 years. Throughout the years, we stored 84,667 boxes and had over 548,000 transactions; an impressive amount. Recently, we decided to part separate ways, a decision that was difficult for FileBank to accept. Nonetheless, FileBank was given a one-month notice to deliver all containers belonging to the bank. When all belongings were delivered, Valley National Bank was in for an extremely pleasant surprise; their entire inventory was 100% accurate with the inventory records they’ve kept in-house. We most definitely showed them 100% accuracy throughout the years, however, this instance was more satisfying to them than anything we’ve ever serviced them in the past.

This accuracy was not only satisfying for both parties, but proof that FileBank takes much pride in our redundancy and accurate work. We take pride in knowing that our clients, even the ones we lose, will never have ill feelings towards our services. Our entire team makes certain of this, and this particular loss, proves this case.

Introducing Our Newest Service FB-Files.

With FileBank's innovative technology well ahead of most Enterprise Content Management companies, our clients are rarely surprised when we decide to introduce new services that make their search for documents even easier than before. With the date of beginning to start selling this brand new service is underway, we would like to enlighten our clients, as well as potential ones, exactly how FB-Files can better your business in more way than one. 

Think of FB-Files as a search engine solely for your documents. Say you are searching for an employee's Employment Contract in the Human Resources Department, but know that there are many other documents scanned into your system with this individuals information on them. All our clients would have to do is type in the search bar in FB-Files the individuals name, and absolutely ALL of the documents that contain this individual's name will show up, with the highlighted keyword that was just searched. Now, to narrow the search, simply type in "Employment Contract" after the individual's name and viola, the document is handy, ready to be distributed to the rest of your organization. 

This service is somewhat similar to our popular Instant Access service; however, this service saves time with physically having to request the document be scanned into their virtual cabinet system, as well as money when requesting us to pull the boxes the files are in from our Data Center and the cost of prep time for each document.
