Files can be requested via the P-Cabinet portal. Once clients purchase our digital services, they are given credentials to this portal, allowing full access (only in their department) to all files indexed.
Once the work order is requested, clients will receive confirmation from our Customer Service Department that it has been received, and the process of converting their file in digital form starts!
V-Cabinet is the portal that the files go into once they are digitized. Like P-Cabinet, this retrieval portal allows client access (again, only to the department they are linked to), to all files that have been retrieved in the past and currently. This means that once a file is in V-Cabinet, the paper document of it is obsolete, unless, the original document is legally needed for a certain time frame. 
  
Furthermore, as document management programs become increasingly digitized, it is essential that your paper documents be converted into a digital format. FileBank delivers affordable solutions for your scanning and imaging needs. We can scan anything-from standard-size paper documents to large-format documents, such as blueprints and technical drawings. We offer remote access to your digitized record via the internet and the option to have your records uploadable via a disc. Get To Know How Your Files Will Be Handled At Our Facility.

Many clients, before they commit to our services, always have one question: What is the process of converting physical files into digital ones? This post will allow all current and potential clients know what happens, and how it happens.

Assessment:  FileBank will examine the organization’s data assets and explain how find out which records they can consider being active, inactive, and obsolete. Records are then transferred by FileBank experienced archivists.

Web Client Portal: FileBank will then provide an online account with credentials into FileBank’s client portal. This access will be for the client’s V-Cabinet™ , P-Cabinet™, and A-Cabinet™ (if applicable). We will launch security, passcodes, and user rights for the portal access. A major policy we have at FileBank is to not grant access to any individual at our client's organization who does not have their name on the security list, or does not have the proper access in the department in which they are trying to retrieve their data from; Not only for liability reasons, but to also prove to our clients that we secure their documents 100%.

Digital Conversion of Active Files: Using our FileCapture™ Service, FileBank transforms our client's most active files, making them immediately obtainable through their V-Cabinet on the client portal, if applicable.

Inventory and Indexing of Semi-Active Files: Using our Instant Access Service, FileBank conducts a complete file inventory and indexing for all semi-active and active files. Not only does this give our clients the proper insight with exactly which files are stored with us, but it also makes for immediate retrieval of files in time-sensitive situations.

Inventory, Indexing, and Boxing of Semi-Active and Inactive Files: Using our FileBox™ Service, FileBank executes a box inventory and indexing for all our client’s semi-active and inactive boxes. Physical boxes are kept at FileBank’s state-of-the-art storage facility, located at our corporate headquarters.

Destruction of Obsolete Files/Retention Analysis: Upon state/agency approval, FileBank will utilize our FileTrack-n-Shred™ Service to professionally shred their organization’s obsolete files and will issue a Certificate of Destruction or complete assurance that the proper boxes are getting destroyed. As well as this service, we have experienced Retention Analysts who work with the state guidelines for each type of document and informs the clients whenever their boxes are ready to be destroyed, according to the state guidelines.
