need, we have a service for. We will fully explain the services and benefits
that we have for all Physical Document Management.
1.
FileOrganize – With this service, we pack,
barcode, label and fully organize our client’s inventory. We visit the client’s
location, and so what we call “purges,” when FileBank’s FileOrganize department
spends the day packing up old files, as well as answering any and all questions
the clients may have regarding their files. The benefits of this service is
that the client’s inventory are 100% organized by our team of experienced
professionals, and they will also be able to gain detailed information on all
types of records being packed and stored at FileBank.
2.
FileBox -
This is the generic record storage service. It is a flexible program that is
customizable to sit each customer’s unique needs. If a client solely needs a company that will
store their files, and nothing more, this is the service to choose. The
benefits of FileBox is that it reduces the cost of storing, as well a
completely managing the records. It allows the client’s working environment to
be free from clutter and unnecessary storage space. It provides access to records on a 24/7 basis
via the Virtual Portal V-Cabinet, which is our secure web client portal

Instant Access – This service is one of the most
popular for the schools that we serve. It is when we store all containers
requested to be stored by the client, as well as taken a through indexing of
each file in the boxes. We provide each file with its own barcode, which
immensely cuts the time for searching for files. All files are indexing with
certain keywords, chosen by the clients. Once a file is requested, FileBank
scans and imports the files into the web client based portal, V-Cabinet, within
a 30 minute timespan. The benefits of our Instant Access service are that
clients can find files almost instantaneously, which definitely comes in handy
in time-sensitive situations.
4.
FileCapture – This service can arguably be the
most convenient one for our clients.
This service is when we scan all active files, including blueprints, and
immediately making them available in V-Cabinet. So, instead of requesting a
certain file to be scanned into V-Cabinet, our clients can simply go in their
V-Cabinet and have access to the file immediately, and would not have to wait
the 30 minutes it takes to request/scan a file in. We can also convert all
active files into a disc! The benefits of FileCapture is to be able to find,
view, share and collaborate your files on a 24/7 basis via V-Cabinet. Also,
clients are able to print or e-mail files instantly, which saves time with
correspondences and in essence, increases productivity.
5.
FileTrack-N-Shred – Let’s face it; what company
doesn’t need a reliable company to shred their documents, confidential or not?
FileBank provides shredding services with our shred truck for On-site
locations, as well as Off-site. Scheduling either On-demand, or as a monthly
reoccurrence, FileBank ensures the client is aware that they can either witness
the shred being done, or allow us to take the contents back into our Data
Center and shred them there. Nonetheless, we are completely confidential in
regards to what we shred. The benefits of FileTrack-N-Shred are that all
companies will be able to comply with local, state and federal laws in regards
to documents that have a certain mandatory lifespan. Also, it saves an immense
amount of money in storage.
6.
FileRetention – this services goes hand-and-hand
with FileTrack-N-Shred. We have a certified Retention Specialist who can assist
all customers with any and all questions customers may have in regards to the
lifespan of certain files. They monitor files for compliance with local, state
and federal laws. The benefits of FileRetention are as follows:

Clients are able to receive expert advice in
identifying records

Regular monitoring of account.
7.
P-Cabinet – Our secure web-based records
management application. This application allows clients to have full access to
what FileBank stores at our Data Center. It also allows clients to request web
work orders for our Customer Service Department. The benefits of using
P-Cabinet is that clients will be able to find a file or a box to request in
seconds, and managing inventory. Clients may also be able to request supplies
via P-Cabinet such as empty storage boxes, box barcode labels and Manifest
Forms.
