One
of FileBank’s popular services is the archiving and indexing of documents. The purpose of this procedure is to ensure
that core documentation stored at FileBank Inc. are well managed and tracked at
all times. This will allow all internal
files of the company, and files belonging to our clients, to be organized and
easy to find in the event that a file is requested.
The
employees who are responsible for this procedure are the Internal Archivists.
These employees will assure that all interior files in each department are
organized by file, and not by only the container the files are in.
The procedure for this service is as follows: Authorized personnel from each department will be assigned
specific documents for filing. These
files are then put under specific categories in which our client’s department
feels that the file belongs to. All files are containers and stored at our
Corporate Headquarters, home of our Data Center, located at 23 Thornton Road,
Oakland, New Jersey, 07436.
The Internal Archivist will collect all documents, and file them in its
appropriate cabinet.
In the event that a document doesn’t have an existing file, the
Internal Archivist is responsible for contacting the client in order to make a
new one. The name of the file is
determined by the name on the document or by the subject name of the document.
